A failed power board under a receptionist’s desk, a damaged extension cord in a workshop, or a kettle with a cracked plug in a staff kitchen can all create the same problem: an electrical risk that was easy to miss. Knowing what appliances need safety tags helps facilities managers and business owners put their attention where it matters, maintain clear records, and act before a preventable incident disrupts operations.
Safety tagging is not simply a sticker program. A current tag shows that an item has been inspected and, where required, electrically tested by a competent person. It identifies the item, records the test date, and indicates when it is next due for attention. In a workplace, that visible evidence supports a broader duty to keep electrical equipment safe.
What appliances need safety tags?
As a practical rule, portable electrical equipment used in a workplace should be included in an inspection and testing program. Portable equipment is any item that can be moved while connected to electricity, or can be easily disconnected and moved from one location to another.
That definition covers far more than obvious tools. Office equipment, kitchen appliances, cleaning equipment, audiovisual gear, chargers, and extension leads may all require inspection. The appropriate testing approach and frequency depend on the equipment, the environment, how often it is handled, and the likelihood of damage.
For Australian workplaces, test and tag programs are commonly planned with AS/NZS 3760 in mind, alongside workplace safety duties, site procedures, insurer conditions, and industry requirements. The standard does not mean every electrical item receives identical treatment. Risk assessment matters.
Common items that should be included
The following categories are commonly included in a workplace test and tag register:
- Portable appliances such as kettles, microwaves, refrigerators, coffee machines, fans, heaters, vacuum cleaners, and portable air conditioners.
- Office and technology equipment, including desktop computers, monitors, printers, scanners, photocopiers, projectors, docking stations, and powered display equipment.
- Handheld and portable tools, such as drills, grinders, sanders, welders, heat guns, battery chargers, and portable work lights.
- Flexible cords and accessories, including extension leads, power boards, double adapters, portable RCDs, and charging leads where they are supplied as workplace equipment.
These items are often moved, plugged and unplugged, stored in busy areas, or exposed to wear. A cord can be damaged internally even when it appears acceptable at a quick glance. Testing complements visual inspection by identifying certain faults that cannot be seen from the outside.
Equipment that needs closer attention
Some environments create a higher risk of damage or electric shock. The test interval for a computer in a locked office may be different from that for a lead used daily on a building site, in a commercial kitchen, or around workshop machinery.
Workshops are a clear example. Portable tools, leads, and power boards are frequently moved across hard surfaces, exposed to dust, vibration, oils, or accidental impacts, and used by multiple people. These conditions call for a disciplined inspection schedule and prompt removal of damaged equipment.
Hotels, motels, schools, and accommodation providers have different challenges. Guest room appliances, cleaners’ equipment, kitchen items, extension leads, and audiovisual equipment may be used by many people and moved between rooms. A well-maintained asset register and barcode-based identification make it easier to confirm what has been checked, what is due next, and what requires repair or replacement.
In offices, equipment is generally lower risk, but it should not be ignored. Power boards hidden under desks, overloaded adaptors, damaged charging cables, and portable heaters are common concerns. Office managers should also account for equipment brought in for shared workplace use, rather than assuming every item belongs to an individual and sits outside the site’s safety process.
Fixed equipment is different, but not automatically exempt
Fixed electrical equipment is hard-wired or fixed in place and is not normally connected by a plug and flexible cord. Examples may include split-system air conditioners, built-in ovens, fixed lighting, and permanently installed machinery. These items are generally managed through electrical installation maintenance rather than a standard portable appliance test and tag program.
However, the line is not always obvious. A refrigerator may sit in one place for years but still be connected by a plug and cord. It remains portable equipment for testing purposes. A wall-mounted television may be fixed to a bracket but powered through a detachable plug and lead that can still need inspection. The equipment’s connection method and the site risk assessment matter more than whether it moves every day.
Likewise, a safety tag does not replace maintenance by a licensed electrician. If an appliance has a damaged socket, exposed wiring, overheating plug, repeated tripping issue, or signs of internal failure, it should be taken out of service. Testing may identify the issue, but repair work and electrical installation faults require the right level of trade expertise.
RCDs need testing too
Residual current devices, or RCDs, are designed to reduce the risk of serious electric shock by disconnecting power quickly when they detect certain faults. They are an essential control, but they are not a substitute for inspecting appliances and leads.
Portable RCDs used with extension leads and tools should be included in the site’s testing schedule. Fixed switchboard RCDs require their own testing and documentation process. The testing method, interval, and recordkeeping requirements can differ from appliance tags, so it is worth treating RCD compliance as a separate, planned task rather than assuming an appliance tag covers it.
What does not usually require a standard safety tag?
Not every item in a building needs a tag. Battery-only devices, such as a cordless calculator or battery-powered tool that is never connected to mains power, are not typically part of portable appliance testing. Low-voltage equipment powered only by an approved external power supply may also be managed differently, although its charger or power pack should be assessed if it plugs into a wall outlet.
Personal equipment requires a sensible workplace policy. A staff member’s phone charger or laptop may appear low risk, but a damaged or poor-quality charger can still create a hazard. Some organizations include all personally owned electrical items used on site. Others restrict personal appliances or require approval before use. The right approach depends on the site, the volume of equipment, and the level of control needed.
The key point is that an item should not be excluded simply because it is small, old, rarely used, or hidden from view. If it connects to mains power and is used in the workplace, it deserves consideration in the risk assessment.
Safety tags are only useful when the register is accurate
A tag is valuable at the point of use, but compliance records are what make the program manageable across a whole site. Each tested asset should be identifiable, linked to its test result, and recorded with a next-due date. Digital reporting gives managers a clear audit trail and reduces the uncertainty that comes with paper lists and unlabeled equipment.
Before a scheduled service, it helps to tell staff to leave equipment accessible and to identify appliances stored in cupboards, classrooms, guest rooms, vehicles, and maintenance areas. Appliances that are away from the main work area are often the ones missed during a rushed inspection.
After testing, review any failed items immediately. Remove them from service, arrange a repair where practical, or replace them. Do not leave a failed appliance in a storeroom where it can quietly return to use. Clear labeling, controlled storage, and documented corrective action are as important as the test itself.
Build the schedule around your actual workplace
There is no benefit in treating a low-use office printer exactly like a heavily used workshop grinder. A practical program considers the environment, equipment type, user behavior, previous faults, and operational schedule. It should also minimize disruption, particularly in schools, accommodation settings, and customer-facing workplaces where access windows can be limited.
